White-label bookkeeping means an outside team does the ledger work, your firm presents it as its own, and your client never deals with anyone but you. Since 2019 we have done exactly this for CPA and accounting firms in the United States, the United Kingdom and the United Arab Emirates, working inside each firm's own accounting software.
What our white-label bookkeeping service includes
We take the recurring ledger work off your team's desk and hand it back as a reviewed, tied-out file each month. The scope is agreed per client file, and it usually covers:
- Transaction processing. Bank and card feeds imported, every transaction categorized, receipts matched and questions logged for you rather than guessed at.
- Reconciliations. Every bank, credit card, loan and payroll account reconciled to its statement every month, with reconciling items listed and dated.
- Accounts payable and receivable. Bills entered and matched to vendor statements, customer receipts applied, and both agings reviewed for anything over 60 days.
- Payroll. Pay runs processed in your client's payroll software, or payroll posted from the provider's reports, and tied to the register.
- Month-end close. Accruals, prepaids, depreciation and deferred revenue posted, and a close pack prepared with a profit and loss statement, balance sheet, cash flow statement, reconciliations, agings and a query log. See our month-end close service for the full checklist.
- Tax-ready records and returns. US sales tax, UAE VAT and Corporate Tax, and UK Making Tax Digital VAT records prepared for your review. For CPA firms we also prepare the tax returns in your tax software; review, signing and filing stay with your firm.
- Catch-up and clean-up. Files that are months behind brought up to date and fully reconciled before they move onto the monthly cycle.
How the white-label arrangement works
The point of a white-label service is that nothing about it is visible to your client. We set the engagement up so that stays true:
- Your systems. We work inside your firm's own accounting platform and document tools. You create our user accounts, set the permissions and can switch them off at any time. Nothing is exported to our machines.
- Your name. Close packs, reconciliation reports and management accounts are formatted with your firm's name and sent to you, not to your client. You review and release them.
- Your client relationship. We never contact your clients. Questions about missing documents or unusual transactions go into a query log that you forward in your own words, or that we send from an address you control if you prefer.
- Your standards. We follow your chart of accounts, your close checklist and your review notes. If you do not have a written close procedure yet, we bring ours and adapt it to your firm.
Who does the work
Each client file has a named accountant who prepares it and a separate senior accountant who reviews it before it reaches you. Nothing goes out on the strength of one pair of eyes. Our team of 12 includes CPA, CA and MBA-qualified accountants, and the founder, Murtaza Kagdi, takes every first call himself and stays close to each firm relationship. You can meet the people who will work on your files before you send us anything.
Because the team is small and stable, your files are not rotated between whoever is free that week. The same preparer learns your clients, and the same reviewer learns what you care about.
Confidentiality, §7216 and data protection
For a US firm, sending tax return information to a team outside the United States requires the taxpayer's written consent under Internal Revenue Code §7216, and Social Security numbers generally have to be masked before anything is shared. For UK firms, UK GDPR applies; for UAE firms, the Personal Data Protection Law. We have built the engagement around those rules rather than around convenience:
- A mutual NDA is signed before we see a single record, and it covers everyone who works on your files.
- We give you a checklist of the points your engagement letter and §7216 consent need to cover. Your counsel approves the final wording.
- SSNs and other identifiers are masked by default. We do not need them to keep the books.
- Access is through your platform, with two-factor login and role-based permissions, so every action we take appears in your audit trail.
- A data processing agreement (DPA) and our security summary are available on request.
SOC 2 and ISO 27001 certifications are on our roadmap. We do not display badges we have not earned. If an independent attestation is a requirement for your firm, tell us on the first call and we will say plainly where we stand. Our article on what IRS §7216 actually requires walks through the consent rules in detail.
Turnaround and working hours
Our target for a typical file is a five-business-day close: feeds captured on day one, cash reconciled on day two, payables and receivables on day three, adjustments on day four, senior review and delivery on day five. Very high-volume or multi-entity files are scheduled individually, and we tell you the date before we start rather than after we miss it.
We reply to messages within four business hours, and our working hours are set to overlap the US Eastern, Central and Pacific working day as well as UK and Gulf office hours. Most firms go live within two weeks of the first call.
How white-label bookkeeping is priced
Every engagement is quoted on its scope: the number of client files, their transaction volume and the services you need for each. After a 20-minute call we send one fixed monthly fee, agreed before we start, with no lock-in contract. Rates are negotiable from 20 client files, and we invoice monthly in USD, AED, GBP or EUR.
Before any of that, we close and review one of your client files for free, to the same standard as paid work, so you can judge the turnaround and the review notes yourself. There is no commitment afterward.
White-label bookkeeping or another hire?
Most firms do not need twelve months of extra capacity. They need it from January to April and again before the October extension deadline. A full-time hire costs the same in August as in March, takes months to recruit and more months to learn your clients. A white-label partner can be scaled up before the season and back down after it, and the partner's review step is already built in. Our article on tax-season capacity without the hiring spree includes a simple model for comparing the two with your own numbers.
If your files are small, or your team has spare hours outside the season, outsourcing may not save you money, and we will tell you so on the call.
Getting started
- Book a 20-minute call. Tell us about your busiest month, your software and the kinds of clients you serve.
- Sign the NDA and set up access. We send the mutual NDA and the engagement-letter checklist. You create our user accounts in your platform.
- Send one file. We close and review it for free, inside your software and under your name.
- Agree the scope and the fee. If the trial file meets your standard, we fix the monthly fee and the delivery dates and start on the rest.
Frequently asked questions
Will my clients know you exist?
No. We work inside your systems, deliver under your firm's name and never contact your clients. Questions go to you through a query log, and you decide how and when to pass them on.
Can we meet the people who will work on our files?
Yes. After the first call we introduce the preparer and the senior reviewer assigned to your firm, and you can speak with them before you send any work.
Which accounting software do you work in?
Yours. We work in QuickBooks, Xero, NetSuite, Sage, Zoho Books, Tally and FreeAgent, and in your firm's document and workflow tools. Your data stays on your platform.
What do you need from us to start?
A signed mutual NDA, user access to the client files you want us to handle, the chart of accounts and any close checklist you already use, and a contact at your firm for queries. For US tax clients, the §7216 consent for your clients to sign; we give you a checklist for it.
Do you prepare tax returns under our name as well?
Yes, for CPA firms. We prepare the returns in your tax software, under your firm's name, from the closed books and your workpapers, once your clients' §7216 consent is in place. Your firm reviews, signs and files every return.
What if we need more capacity during tax season?
Tell us how many files you expect and when. Because the fee is set per file and per scope, we can add files before the season and reduce them afterward without a new contract.
Where is your team located, and when are you available?
Our team is in India and works hours that overlap the US, UK and Gulf working day. We reply within four business hours, and the founder takes every first call himself.
