Cloud accounting means your books live in software you reach through a browser, with bank feeds flowing in automatically and your accountant, your bookkeeper and you all working in the same file at the same time. It is how we have worked since we started in 2019. We do the accounting inside the platform you choose, and we help you choose if you have not yet.
What cloud accounting changes
- One file, no versions. There is no backup to email and no "which copy is current". We, you and your CPA see the same ledger.
- Bank feeds instead of data entry. Transactions arrive daily from your bank and cards. Our job is to categorize, match and reconcile them, not to type them in.
- Receipts captured at source. Photos and emailed invoices attach to the transaction they belong to, which is what a tax authority wants to see.
- Access you control. You create our user accounts, set the permissions and can remove them at any time. Every action we take is in the platform's audit trail.
- Reporting on demand. Once a month is closed and locked, you can pull a profit and loss or an aging whenever you like and get the same answer every time.

Moving from desktop or spreadsheets to the cloud
A migration is only successful if the opening balances in the new file agree to the closing balances in the old one, to the cent. Our migration work follows a fixed sequence:
- Close and reconcile the old file to a chosen cutoff date, so there is a clean line between the two systems.
- Design the chart of accounts for the new platform rather than copying every legacy account across.
- Bring across opening balances, open invoices and bills, fixed assets, and as much transaction history as you need for comparatives.
- Connect bank feeds and receipt capture, and set user roles and two-factor login.
- Run the first month in the new system alongside a tie-out of every balance sheet account to the old file.
We move books from desktop software and spreadsheets to the cloud, and between cloud platforms when a business outgrows one, with every balance tied out before the old file is retired.
Our day-to-day cloud bookkeeping service
Once the platform is set up, the service is the same monthly cycle we run for every client: feeds categorized, every account reconciled, payables and receivables kept current, adjustments posted, and a close pack delivered within five business days of month-end after a separate senior review. For accounting firms, the same work is delivered under your own name inside your clients' files.
Choosing cloud accounting software
We are deliberately platform-neutral. The right choice depends on your country, your tax regime, whether you carry inventory, how many entities you have and what your accountant already uses. On a 20-minute call we will tell you which two or three platforms fit, what to expect from each, and which we would pick in your position. If you already have a platform that works, we will tell you to keep it.
Security in the cloud
Cloud platforms are generally better protected than a desktop file on an office PC, but access still has to be managed. We work with two-factor login, role-based permissions set by you, and no exports of your data to our own machines. A mutual NDA is signed before we see a record, and our data processing agreement and security summary are available on request. SOC 2 and ISO 27001 are on our roadmap; we do not claim certifications we have not earned.
Pricing
Migrations are quoted as a fixed project fee based on the number of accounts, open items and the history you want brought across. Ongoing cloud bookkeeping is one fixed monthly fee, agreed before we start, with no lock-in contract and the first close free.
Frequently asked questions
What is cloud accounting?
Cloud accounting software keeps your ledger on the vendor's servers rather than on your computer, connects directly to your bank, and lets several people work in the same file through a browser. QuickBooks Online, Xero, NetSuite, Zoho Books and FreeAgent are examples.
Which cloud accounting software is best?
It depends on your country, tax regime, inventory and number of entities. QuickBooks Online dominates in the US, Xero and Sage are common in the UK, Zoho Books and Xero are popular in the UAE, and NetSuite suits multi-entity businesses. We will tell you which fits on the first call.
Who owns the accounting file?
You do. The subscription and the file stay in your name, and you decide which users we have and what they can see. If we stop working together, you simply remove our access.
Can you move us from QuickBooks Desktop to QuickBooks Online?
Yes. We close and reconcile the desktop file to a cutoff, design the chart of accounts, bring across balances, open items and history, connect bank feeds and tie every balance sheet account out in the new file.
Will we lose our history in a migration?
No. You decide how much transaction history comes across; the rest stays available in the old file or in an archived export. Comparatives for at least the prior year are usually brought in.
Is our data safe with an outsourced team in the cloud?
You control the access: our user accounts, their permissions and two-factor login are set by you, and every action we take is in the platform's audit trail. We export nothing to our machines and sign a mutual NDA first.
