UK bookkeeping has become a quarterly, digital discipline. Every VAT-registered business already files under Making Tax Digital, sole traders and landlords are moving to quarterly updates for Income Tax, and Companies House and HMRC deadlines arrive whether the ledger is ready or not. We keep the books for UK limited companies and sole traders, and we act as a white-label bookkeeping team for UK accountancy practices that would rather not hire for every new client.

For accountancy practices

Practices use us to take the processing and reconciliation off their staff during January and the year-end season, or all year round. We work inside your Xero, QuickBooks Online, Sage or FreeAgent client files, follow your working papers and review notes, and deliver each file to you, not to your client, with a separate senior review already done. You keep the client relationship, the VAT filing, the accounts production and the sign-off.

  • Monthly or quarterly bookkeeping and bank reconciliations for your client portfolio.
  • VAT return workings under Making Tax Digital, reconciled to the ledger, ready for your review and submission.
  • Quarterly update preparation for Making Tax Digital for Income Tax clients.
  • Year-end schedules for accounts production: fixed assets, prepayments and accruals, loans, directors' loan accounts, and a reconciled trial balance.
  • Catch-up projects for clients who arrive with a carrier bag of receipts.

For limited companies and sole traders

For businesses, we are the bookkeeping team: feeds categorized, every account reconciled, supplier bills and customer invoices kept current, payroll run in your payroll software or posted from your provider's reports, VAT workings prepared each quarter, and a month-end close pack so you know where you stand. Your accountant prepares and files the statutory accounts, the Corporation Tax return and your Self Assessment from closed, reconciled months rather than from a reconstruction. See our outsourced accounting services for the full scope.

Making Tax Digital, done properly

MTD is not just a software choice. It requires digital records kept as transactions happen, digital links between those records and the return, and no retyping of figures along the way. Our monthly cycle fits that: the ledger is kept in MTD-compatible cloud software, VAT is reconciled to the ledger every period, and the return figures come straight from the software for your accountant or you to submit. The VAT control account is cleared after each filing so that the next period starts clean.

Software and reporting basis

We work in Xero, QuickBooks Online, Sage, FreeAgent and other cloud platforms, inside your subscription, and we can move books from spreadsheets or desktop software to the cloud with every balance tied out. Year-end schedules are prepared under UK GAAP: FRS 102 for most small and medium-sized companies, including the section 1A small-companies regime, and FRS 105 for micro-entities, as your accountant specifies.

Data protection and working hours

UK GDPR allows client data to be processed outside the UK when appropriate safeguards are in place, usually the International Data Transfer Agreement (IDTA) alongside a data processing agreement. We sign a mutual NDA before we see a record, put the agreed safeguards in place before work starts, work only inside your systems with two-factor login and role-based access, and keep no client files on our machines. Our security summary is available on request; SOC 2 and ISO 27001 are on our roadmap, not yet held.

Our team is in India, four and a half to five and a half hours ahead of the UK, so we are online through the UK morning and afternoon and reply within four business hours. The founder takes every first call himself.

Pricing

One fixed monthly fee per client file or per company, quoted on transaction volume and the services you need, invoiced in GBP, with no lock-in contract. Rates are negotiable from 20 client files for practices. The first file is closed and reviewed free, to the same standard as paid work, so you can judge us before you commit.

Frequently asked questions

Do you work with UK accountants on a white-label basis?

Yes. We work inside your practice's client files, deliver to you under your name and never contact your clients. See our white-label bookkeeping page for the detail.

Is your software compatible with Making Tax Digital?

We work in your subscription to Xero, QuickBooks Online, Sage, FreeAgent and other MTD-compatible platforms, so the digital records and digital links requirements are met inside the software you already use.

Can you submit VAT returns to HMRC for us?

We prepare and reconcile the VAT workings in the software. Submission is done by you or your accountant as the agent authorised with HMRC, after reviewing the figures.

Do you prepare statutory accounts and Corporation Tax returns?

We prepare the year-end schedules and a reconciled trial balance under FRS 102 or FRS 105. Accounts production, the CT600 and filing stay with your accountant or practice.

Do you run payroll?

Yes. We can run your pay runs in your payroll software, or post the journals from your payroll provider's reports, and we reconcile PAYE, National Insurance and pension liabilities to the ledger every month.

How is client data handled under UK GDPR?

Under a data processing agreement with the transfer safeguards UK GDPR requires, usually the IDTA, plus a mutual NDA and access only through your own systems with two-factor login. We keep no copies of client files.

When are you available during the UK working day?

We are online through the UK morning and afternoon and reply within four business hours. Deadline weeks are planned in advance so that files are ready before, not on, the day.

Start with one free file.Send us one client file, or one month of your own books, and we will close and review it inside your software, with no commitment afterward.
