Outsourced accounting replaces the bookkeeper you would otherwise hire, or the evenings you spend on the books yourself, with a team that keeps your ledger current every month and hands you a finished set of numbers. Since 2019 we have done this for businesses in the United Arab Emirates, the United Kingdom and the wider Gulf, from trading companies to online businesses, inside their own accounting software. We work the same way for growing companies in the United States and Europe.
What our outsourced accounting service includes
- Bookkeeping. Bank and card feeds categorized every week or every month, receipts matched, and a query log for anything we cannot place without asking you.
- Reconciliations. Every bank, card, loan and payroll account reconciled to its statement, every month.
- Accounts payable. Bills entered, matched to supplier statements and scheduled, so you know what is due and when.
- Accounts receivable. Invoices recorded, receipts applied and an aging you can chase from.
- Payroll. We run your payroll in your payroll software, or post it from your provider's reports, and tie it to the register, so wages, taxes and liabilities are recorded correctly.
- Month-end close. Accruals, prepaids and depreciation posted, and a close pack with profit and loss, balance sheet, cash flow, reconciliations, agings and open queries. See our month-end close service.
- Tax-ready records. US sales tax workings, UAE VAT and Corporate Tax records, or UK Making Tax Digital VAT records prepared for your tax advisor's review.
- Software setup and migration. A clean chart of accounts, bank feeds connected, and books moved from desktop or spreadsheets to the cloud with every balance tied out. See cloud accounting services.
- Catch-up and clean-up. Books that are months behind brought up to date, reconciled and locked before the monthly cycle begins.
Who this is for
Our business clients are usually owner-managed companies with a few hundred to a few thousand transactions a month and no in-house finance team, or a single bookkeeper who has become the bottleneck. That includes US LLCs and S corporations, UAE mainland and free-zone companies, UK limited companies and businesses in the wider Gulf. If you have an in-house accountant, we can take the transaction processing and reconciliations so they can concentrate on reporting and cash.
How we work with your CPA, auditor or tax advisor
We keep the books; your CPA, chartered accountant or tax advisor prepares and signs your returns and your audit. We send them reconciled ledgers, closed months and the schedules they ask for, which makes year-end a review of twelve closed months rather than a reconstruction. If you do not have a tax advisor, tell us and we will say what kind you need in your jurisdiction. If you are an accounting firm looking for this service for your own clients, see our white-label bookkeeping page.
What a month looks like
- During the month. Feeds are categorized as they arrive, bills and invoices are recorded, and queries are raised as they come up rather than saved for the end.
- Before month-end. We send a short cutoff reminder listing the documents we need: final invoices, bills, receipts and statements.
- Days one to four. Cash reconciled, payables and receivables reviewed, adjustments posted.
- Day five. A senior accountant reviews the file, the close pack is delivered and the period is locked.
- Afterward. A short call if you want one, to walk through the numbers and the open queries.
Reporting basis and currencies
We agree the reporting basis for your company at the start: US GAAP for US companies, IFRS or IFRS for SMEs for UAE companies, and UK GAAP (FRS 102 or FRS 105) for UK companies. Multi-currency books are handled in the platform's own currency tools, with revaluations posted at month-end. We invoice monthly in USD, AED, GBP or EUR.
Security and confidentiality
We sign a mutual NDA before we see a single record. We work inside your own accounting platform, with two-factor login and role-based permissions, so every action we take appears in your audit trail and you can remove our access at any time. We keep no client files on our machines. A data processing agreement and our security summary are available on request. SOC 2 and ISO 27001 certifications are on our roadmap, not on our wall, and we say so rather than displaying badges we have not earned.
Pricing
Every engagement is quoted on its scope: transaction volume, the number of accounts and entities, and the services you need. You receive one fixed monthly fee, agreed before we start, with no lock-in contract. The first month is closed and reviewed free, so you can judge the pack, the review notes and the communication before you commit.
Signs it is time to outsource
- The books are reconciled once a year, at tax time, and the numbers in between are guesses.
- Your bookkeeper is also your office manager, or is you.
- Your CPA's year-end bill is high because the ledger needs cleaning up first.
- You cannot say today what you are owed, what you owe, and what cash you will have at the end of the month.
- You are registering for VAT, Corporate Tax or sales tax and need records that will stand up to a return.
Frequently asked questions
What is the difference between outsourced bookkeeping and outsourced accounting?
Bookkeeping records the transactions and reconciles the accounts. Accounting adds the month-end close, adjustments, financial statements and tax-ready schedules. Our service covers both; you choose the scope per company.
Which accounting software do you use?
Yours. We work in QuickBooks, Xero, NetSuite, Sage, Zoho Books, Tally and FreeAgent. If you have no software yet, we will recommend one for your country and size, set it up and connect the bank feeds.
Is tax filing included?
This service covers tax-ready records and workings: reconciled ledgers, sales tax and VAT summaries, Corporate Tax schedules and year-end packs, ready for whoever prepares and files your returns. Ask us on the call if you also need help with filing in your country.
How do we send you documents?
Through the receipt capture in your accounting platform, a shared folder you control, or email to an address set up for your company. We tell you what is missing in the query log rather than chasing piecemeal.
How quickly do you respond?
Within four business hours. Our working hours overlap the US, UK and Gulf working day, and the founder takes every first call himself.
Can you start with a clean-up of several months?
Yes. We quote a fixed fee for the backlog, close each month in sequence and then move onto the monthly cycle.
Is there a minimum contract?
No. The fee is monthly and there is no lock-in. If you stop, we hand back locked, reconciled books and remove our access.
